A few helpful tips on getting ready for your trip

Here is a helpful timeline with details to ensure you are prepared for your Source Events Vacation. We’ve designed this simple timeline to be easy to follow, though of course our team is always here for you if you have any questions along the way.


Once you reserve… Right Now (Before You Forget!)

You’ll be receiving a reservation agreement by email. Please review it carefully to make sure all the information is correct. Then sign and return the Source Events Reservation agreement. You can fax it to 305-757-4010 or scan and email to reservations@sourceevents.com.

Make sure your passport is current! It should be valid for at least 6 months after your return date as some countries require this for entry.

Most of the places we visit don’t require visas, and often a cruise ship can provide a temporary visa. However, if you’re from outside the USA, you should check with your local embassy and/or consulate to confirm any visa requirements. Remember that all documentation is your responsibility.

Start researching airfares. We recommend travel sites such as www.Kayak.com and www.expedia.com. Often times we have special airfares to certain countries and we’ll be happy to assist you with air. Just let us know if you need assistance.


6-9 Months Before Departure

We recommend booking our pre and post cruise packages at this time. We always offer host hotels for our guests. If you have a preferred hotel, we’ll be happy to assist you as well.

Payments are usually due 9 months and 6 months prior to departure. We’ll automatically charge your credit card on file unless we have instructions from you to change your card. Please notify us at least that these requests should be handled at least 4 business days before your payment is due. If you are paying by check, please send your payment on time. If you’re on the monthly payment plan, no additional payment is due at this time.


90 Days Prior to Departure(3 Months Before Departure)

The final payment will be automatically paid. Reserve pre- and post-cruise hotel. If you haven’t already booked your air or hotel, we recommend doing so now.


30 Days Prior to Departure (About A Month Before Departure)

Register for your cruise with the instructions that we’ll provide by email. You’ll need to provide passport information and other details directly to our cruise lines to complete your registration. We typically send out this information by email about a month prior to sailing.

Now is the time to pre-book your shore excursions. Source Events partners with the cruise lines to create special shore excursions for you. These optional excursions are great ways to experience these amazing sights with your onboard friends. If you see an excursion you are interested in, we recommend booking tours early, because space is limited.

Our theme parties are usually announced 2 months before departure. Our theme parties are always fun and simple, and our hosts always bring extra fun accessories for the theme parties. We encourage you to have fun with the themes and feel free to dress and creatively as you like. Many of our guests are inspired by the places we visit and get things to wear when we’re in one of the ports of call.


Two Weeks Before Departure

We often will send guests suggested packing tips. Now is a great time to put together your packing list and make sure you have everything you need. You may want to get a travel guide with detailed information on the sights you’ll be visiting. Please check your email for special updates prior to departure on ports, weather, and special events in our departure city.
